JOB DESCRIPTION

The Events Manager is responsible for the coordination of all event planning and logistics management for the organizations. This position requires event logistics and event fundraising experience. The candidate must be an experienced, energetic and take-charge professional with exceptional customer service skills and the ability to administer and manage local, national and international events.
 

RESPONSIBILITIES

  • Establish and maintain successful working relationships with all internal and external partners to ensure a high-quality event.
  • Seek and cultivate appropriate sponsorships, in-kind donations, and grant opportunities for all events.
  • Manage negotiations for event space, catering, audiovisual services, poster boards, and onsite signage and logistics (e.g. nametags, meeting bags, speaker gifts, registration lists, etc.).
  • Serve as the primary contact for all vendors and event partners.
  • Manage event budgets (revenue and expenses), invoices, check requests, and financial reports.
  • Manage the preparation and production of event materials, including timely shipping to venues.
  • Manage travel arrangements for event staff and event VIPs as required.
  • Manage event website content and online registration and tracking software.
  • Initiate and manage an effective communications platform and schedule for internal/external partners.
  • Manage internal and external partner staffing requirements and coordinate all logistics for event teams.
  • Ensure compliance with insurance, legal, health and safety obligations.
  • Manage follow-up to close-out of all events, and the evaluation of events to generate new ideas for the improvement of future event planning and implementation process.
  • Travel will be required between 10-100% (the International Meeting is always held in the Fall).
  • Other duties as assigned.
 QUALIFICATIONS
  • Bachelor’s degree preferred; significant work experience could substitute for a degree.
  • At least 3 years’ professional experience with event management.
  • Outstanding customer service skills with excellent communication skills (verbal, written and editing) with a high degree of professionalism.
  • Ability to work independently and as part of a team.
  • Ability to prioritize and manage multiple projects and work assignments; able to anticipate event needs; able to adapt and problem solve in a timely and professional manner.
  • Highly organized with excellent attention to detail and high personal expectations for quality.
  • Proficient using the latest versions of Microsoft Word, Excel, PowerPoint, and mail merges; email and web searches; and donor database experience a plus.
  • Able and willing to work some evenings and weekends, and both national and international travel.
  • A current passport and valid driver’s license required.
