Works with individuals and teams in the areas of vendor relationship building and advocacy, vendor satisfaction and vendor retention.  Bids to regional and national vendors throughout the United States and Canada within the respective commodity areas.  Is prompt, courteous and thorough with vendors, insurance suppliers and employees.  Takes total ownership and personal accountability, and advises the management personnel the impact in how changing vendors will impact relationships with our suppliers and the clients.  Exhibits superior customer service skills, and trains employees in how to work with suppliers under different circumstances. 
 
Principal Responsibilities
  • As an essential member of the Operations team, assists in in providing management services, builds and/or enhances relationships with vendors.
  • Able to accurately rate existing or new regional/national suppliers by developing a ranking system; will provide this report to senior management monthly.
  • Will negotiate with suppliers within wider markets in conjunction with the needs of the Company, Operations, the Commodities departments and the Clients.
  • Will regularly supply training of Vendor relationship skills to all existing and new employees.
  • Will supply a report monthly of the negotiations done with regional and national suppliers to senior management. 
  • Will develop questionnaires and provide annual reporting of vendor surveys to management team. 
  • Will develop an annual award for the best vendor in different categories:  best service, least billing errors, most cooperative, most responsive in an emergency, etc.  Will provide data to senior management in a format that can be presented to all employees for participation in “Best Vendor.”   
  • Will develop and/or supply vital documents in conjunction with the Risk Department to assure vendors are meeting insurance expectations of the company.
  • Will coordinate with the commodities and the Research department regarding insurance deficient vendors to assure compliance with clients.  Will provide insurance report to senior management monthly as to deficient vendors and provide solutions within 30 days of the report.
  • Will prepare monthly reports to Operations as to vendor issues and coordinate with commodity supervisors on actions to take for follow up.  Agrees to provide senior management with these vendors reports no later than the first Friday of each month and solutions from the previous month.
  • Agrees to keep Operations and Management fully informed of all important vendor activities, including being sensitive to potential vendor problems and informing the respective departments when there is a need to rebid.
  • Agrees to work with Research in case there is a serious need for a senior bidder.
  •  Keep current on rates, forms and coverage of the suppliers.
 
Education and Experience
 
Minimum of an Associates degree.  Must have no less than two years’ experiences working with commercial insurance accounts.  Must have no less than two year’s working experience within tracking system knowledge within a vendor database management environment.
 
Knowledge, Skills & Abilities
 
  • Effective internal and external communications required.
  • Ability to work as a fully contributing team member is essential.
  • Capable of considering the audience and adapting the approach for different situations, while presenting a united front with both internal (employees) and external (customer) clients.
  • Possess negotiation experience within a Vendor Management environment.
  • Possess basic math skills and able to perform basic operations using units of American money.
  • Superior experience and adaptability with personal computer software is required.
  • Intermediate knowledge of Windows, Internet Explorer and Microsoft Office, most specifically OUTLOOK, Microsoft Word and Excel.
  • High internal motivation and drive are required for success in the position.
  • The ability to embrace change and innovation and to work in a fast paced environment are necessary characteristics for the job.
